Bilingual Senior Administrative Assistant
Permanent Full-Time Position

Reporting to Administrative Officer (Supervisor) in Teacher Employment Services (TES), this position provides comprehensive administrative support to executive and professional staff in both English and French.

Examples of specific duties include:
- Act as a first contact to the TES program area, answer and screen calls, ensure accurate details of member requests are entered into the database. Ensure voice mail is maintained in conjunction with other support staff;
- Maintain Association standards in the production of TES documents and materials; provides advice to TES staff regarding Association style;
- Assist executive staff to manage their calendars;
- Assist in creating, producing, proofreading, packaging and distributing materials for committees, conferences, presentations, meetings, workshops and other TES events;
- Maintain accurate electronic and paper files and records including inventories of publications and other materials;
- Collect data and maintaining lists and directories;
- Maintain databases related to assignments;
- General office duties including, but not limited to, opening and distributing incoming mail, general troubleshooting of office equipment, maintaining inventory of supplies and general upkeep of the area
- Book meeting rooms and catering and ensure proper set up of meeting spaces;
- Back up other support staff and helping with work overload.
- Develop and maintain procedural and workflow manuals for activities undertaken in TES
- Assist with financial data documentation and/or compilation
- Undertake special projects and other duties as assigned.
Qualifications
- Certificate or diploma in administration or a related field;
- Minimum of three years of administrative experience in a professional setting;
- Fluent in both English and French (written and oral);
- Demonstrated accuracy in keyboarding, proofreading, spelling, punctuation and grammar;
- Experience dealing with difficult and sensitive situations and the ability to maintain confidentiality;
- Excellent verbal and written communication and interpersonal skills, including the ability to work well with others;
- The ability to multitask, prioritize work assignments and remain calm while working within tight, conflicting timelines;
- The ability to adapt to changing priorities;
- A willingness to take the initiative;
- Demonstrated problem-solving and analytical skills;
- Intermediate abilities in using Microsoft Word, Excel and PowerPoint;
- Experience working in a member-driven association is an asset;
- Experience using databases and using them to generate reports is an asset; and
Salary: This position offers a competitive starting salary of $59,965 to a maximum of $75,080 (after 3 years) plus a full range of employer-paid benefits.
Hours of Work: 35 hours per week, Monday to Friday.
Work Location: Barnett House (11010 142 Street NW), Edmonton.
