The Opportunity
The Alberta Teachers' Association is the professional organization of teachers in Alberta with a main building location operating in Northwest Edmonton.
We are currently seeking an administrative and customer service professional to manage bookings, reservations, and online platforms for our in-house meeting room rentals and auditorium bookings. Working closely with the Food Services Supervisor and the Building and Facilities Operations Manager during the weekday, this position will have frequent contact with internal and external clients to book events and catering, manage guest needs, update digital signage, and ensure room setup and audio-visual event needs are met. Some coordination of staff recruitment, training, and replacement scheduling for evening and casual teams is required.
On evening shifts and/or in absence of management, this person will assume building lead hand responsibilities to ensure successful event set up and tear down, respond to client questions or staffing issues, and ensure food services and caretaking teams work together to meet guest expectations and building safety standards.
The successful candidate must be client service oriented and able to quickly build relationships with a variety of staff across various departments. An ability to work full time shifts scheduled 8 hours daily between 10am and 10 pm daily is required.
This position provides additional support to building operations such as:
- Distributing meeting rental space information to clients, preparing banquet event orders, and adjusting completed invoices for Finance department.
- Ordering supplies and/or receiving quotes for special event items.
- Working collaboratively with evening caretaking staff to maintain clean and safe environment.
• Acting as an emergency response team member regarding first aid incidents and building evacuation drills. Filing first aid and incident reports as required. - Updating and maintaining multiple scheduling calendars, digital signs and Association website calendars to accurately reflect events and changes.
- Assisting leadership with casual staff onboarding, required safety training, and payroll reconciliation for approximately 20 casual staff.
- Helping to change or improve business processes and workflows between departments and documenting standard procedures.
- Facilitating weekly banquet event order (BEO) meetings and evening staff meetings to communicate event details among and between maintenance, caretaking, reception, and food services teams.
- Overseeing the work of staff working evenings by delegating assignments and managing workflow; (coordinating breaks, cleaning up, serving, bartending, working in the dish room, etc.).
If you have
- Food and Beverage, Hospitality, or Event Management certification.
- Two years of administrative experience working proficiently with computers and preparing documents.
- A minimum of two years leading caretaking or food services teams in a hotel or restaurant setting.
- First aid certification, Proserve, and/or Safe Food Handling courses/certification are all assets.
- A combination of experience and additional certificates/education may be considered.
- Computer proficiency working in multiple applications is required. Strong time-management and organizational skills, including the ability to establish priorities, work well under pressure and meet deadlines.
- Strong interpersonal skills, including the ability to maintain good working relationships with staff, stakeholders, customers and the public.
- Accuracy in keyboarding and proofreading with extensive attention to detail.
- Ability to work under pressure in a busy environment and organize work to ensure a smooth operation.
