The Opportunity

Reporting to the Associate Coordinator, Teacher Employment and Membership Support, the Benefits and Labour Relations Membership Specialist, Teacher Employment and Membership Support, provides administrative support in handling grievances, for labour relations processes and to organize workshops and seminars. Specifically, this position is responsible for the following:

  • Proofreading and summarizing agreements; coordinating ratification logistics; drafting reports and correspondence 
  • Preparing and filing applications while ensuring compliance with Labour Relations Board procedures 
  • Assigning file numbers to grievances and creating working files
  • Tracking file timelines and reminders
  • Coordinating files and providing working file research material to the legal counsel
  • Issuing standard correspondence for routine grievances and drafting correspondence for the approval of senior staff in the case of unique grievances
  • Drafting and preparing case reports for the Teacher Employment Membership Support (Collective Bargaining) addendum to Provincial Executive Council (PEC)
  • Providing administrative support for Healthy Interactions conferences and Teacher Growth, Supervision and Evaluation conferences by finalizing contracts for venues, finding advertisers, managing registration, arranging accommodation and catering, and preparing conference materials in consultation with the conference director
  • Providing administrative support for the Leadership Essentials Conference by finalizing contracts for the venue, deciding on a theme, finding advertisers, managing registration, arranging accommodation and catering, preparing and editing conference materials and arranging tax exemptions for guest speakers in consultation with the conference director
  • Providing administrative support for the Leadership Speaker Series by finalizing contracts for the venue, deciding on a theme, finding advertisers, managing registration, arranging accommodation and catering, preparing and editing related materials and arranging tax exemptions for guest speakers in consultation with the conference director
  • Tracking requests from members, school boards and subgroups for workshops and seminars, and collaborating with staff officers to determine which workshops and seminars will be offered and who will present them
  • Providing administrative support for the International Cooperation Program by receiving and processing applications and performing other work that supports the recruitment of teachers into the program; answering routine staff and applicant queries related to the program, organizing program promotion through news releases and social media, organizing feedback from references, preparing working documents, maintaining records and gathering materials to produce reports
  • Serving as administrative secretary for the Canadian Teachers’ Federation committee by making meeting arrangements, drafting agendas, preparing and assembling documents, taking/preparing minutes, producing addenda for PEC and maintaining committee records 

Qualifications

  • A certificate or diploma in a related field (human resources, labour relations, ability management, pension administration)
  • A completed (or in the process of completing) designation of Certified Employee Benefit Specialist 
    Three (3) years of administrative or case management experience in a professional setting (equivalencies with education may be considered)
  • Experience with grievance arbitration management and administration 
  • Experience dealing with labour relations administration 
  • Experience working in a unionized and/or member-driven environment 
  • Competence using Microsoft Office applications
  • Strong critical thinking, problem solving and organizational skills
  • Strong customer service, communications and interpersonal skills
  • Ability to multitask, prioritize work, manage shifting priorities and cope with simultaneous demands
  •  Ability to maintain a calm and professional demeanor during periods of high stress
  • Knowledge of pension legislation and policies is preferred
  • Experience with records management theory and application is an asset
    Knowledge of member databases is an asset
