Senior Administrative Assistant 
Permanent Full-Time Position

Reporting to the Administrative Officer (Supervisor), this position provides comprehensive administrative support to executive and professional staff in support of government programs and initiatives.

Specific duties include

  • Provide administrative support for the associate coordinators, executive staff and professional staff as required.
  • Help to create, produce, proofread, package and distribute materials for committees, conferences, presentations, meetings, workshops and other Government program area events.
  • Book meeting rooms, ordering catering and ensuring that rooms are properly set up.
  • Communicate with internal and external stakeholders to correct and update member data as requested.
  • Assist senior staff to manage their calendars as required.
  • Help to organize the conferences, registering delegates and attending the conferences to provide onsite support.
  • Serve as the first contact for teachers interested in participating in Educator Exchange Programs by answering inquiries, mailing out promotional materials and updating information on the provincial website.
  • Assist in the day to day activities relating to the Education Exchange Programs including maintaining databases, reviewing application for completeness, generating a variety of correspondence and scheduling various meetings/interviews relating to the Programs processes and providing general administrative support. 
  • Provide back up for other support staff in the program area and helping with work overload; and 
  • Undertake special projects and other duties as assigned.

Qualifications

  • Certificate or diploma in administration or a related field;
  • Minimum of three years of administrative experience in a professional setting;
  • Experience working in a member-driven association is an asset;
  • Demonstrated accuracy in keyboarding, proofreading, spelling, punctuation and grammar;
  • Experience dealing with difficult and sensitive situations and the ability to maintain confidentiality;
  • Excellent verbal and written communication and interpersonal skills, including the ability to work well with others;
  • The ability to multitask, prioritize work assignments and remain calm while working within tight, conflicting timelines;
  • The ability to adapt to changing priorities;
  • A willingness to take the initiative;
  • Demonstrated problem-solving and analytical skills;
  • Intermediate abilities in using Microsoft Word, Excel and PowerPoint;
  • The ability to speak and write both French and English is an asset;
  • Experience working with databases and using them to generate reports is an asset.

Salary: This position offers a competitive starting salary of $54,185 to a maximum of $67,470 (after 3 years) plus a full range of employer-paid benefits.

Hours of Work: 35 hours per week, Monday to Friday.

Work Location: Barnett House (11010 142 Street NW), Edmonton.
